In-clinic monitoring
Overview
The in-clinic monitor lets you see who is currently in your clinic in real time. When a patient arrives, you can mark them as Arrived so they can begin filling out paperwork. Once their paperwork is complete, mark them as Ready. If no paperwork is required, you can select Arrived & Ready in one step. The system will automatically track how early or late the patient arrived. Under the Patient Summary tab, you can view their visit statistics.
When a patient is marked as Arrived or Ready, a notification is sent to the provider’s computer. The provider can respond with preset messages such as On my way, Need 5 minutes, Running behind, or they can send a custom message. Responses are sent back to the front office.
Once the provider begins the appointment, right-click the appointment and select In Progress. This resets the timer and tracks the appointment’s duration.
When the appointment is finished and the patient returns to the front office, right-click the appointment and select Completed. This updates the patient’s status and enables you to run the Appointment Analysis report for appointment statistics.
Marking patients Arrived
Click the Scheduling tab.
Select a location from the drop-down menu in the top, right-hand corner.
3. Right-click an appointment scheduled on today's date, and select Mark "Arrived". An icon will appear on the appointment to display that the patient has arrived.
If the patient does not have paperwork to fill out you can skip the Arrived status and mark them Arrived & Ready.
4. The patient appears in the Patients in clinic monitor. The timer starts in minute-long intervals to track patient waiting time.
The patient timer will turn red in the in-clinic monitor to signify that the patient has been waiting for 5 minutes or longer.
5. Marking a patient 'Arrived' automatically sends a patient arrival notification to the provider.
In the Notification dialog box, click on the information icon to hide/show the appointment notes.
The provider must be logged into Blueprint OMS to receive the Notification. If the provider is running a different program, with Blueprint OMS minimized, the notification will still appear on the provider’s screen.
6. The provider can respond with one of three standard messages or select Type message to enter text in the Response message dialog box. Click Send.
7. The front office receives the Response message. Optionally, the front office can respond as well or close out on the dialog.
Marking patients 'Ready'
Find the desired appointment, and do one of the following:
Right-click the appointment and select Mark “Ready”
Right-click on the patient name in the Patients in clinic monitor and select ‘Ready.’
Marking a patient 'Ready' automatically sends a patient ready notification to the provider.
Use the mouse to hover over the patient note icon to view patient notes on file.
The patient will turn green in the in-clinic monitor to signify that the patient is ready.
Marking patients 'In progress'
Find the desired appointment, and do one of the following:
Right-click the appointment and select Mark 'In progress.'
Right-click on the patient name in the Patients in clinic monitor and select ‘In progress.’
2. The timer changes to an ‘In progress’ icon.
The patient will turn blue in the in-clinic monitor to signify that the appointment is in progress.
Marking patients 'Completed'
Find the desired appointment, and do one of the following:
Right-click the appointment and select Mark “Completed”
Right-click on the patient name in the Patients in clinic monitor and select ‘Completed.’
2. The patient no longer appears in the Patients in clinic monitor.
Marking patients ‘Cancelled’
Find the desired appointment, and do one of the following:
Right-click the appointment and hover over Change status and Mark ‘Cancelled.’
Confirm the operation by selecting ‘Yes’ or ‘No’ to rescheduling
Choosing ‘Yes’ will move the patient’s appointment to the Needs action panel, and the appointment will stay on the schedule until rebooked
Choosing ‘No’ will remove the patient’s appointment from the schedule. It can still be accessible by switching the ‘Status’ on the schedule to <Inactive>
Marking a patient 'Cancelled' automatically sends a patient cancellation notification to the provider.
The provider can respond with ‘OK’ or select Type message to enter text in the Response message dialog box.
Blueprint OMS has a Smart Setting for the patient arrival notification that is on by default. The patient's name is automatically hidden if there are any other patients listed in the in-clinic monitor.
Blueprint OMS can also ensure that patient data never shows in this notification. If you would like to enable this, please see the ‘User preferences’ section on our Setting up system & user preferences page to enable this.
