Appointments can be filtered to display a

specific

subset

. Selecting a clinic (from the drop-down list on the scheduling toolbar) will display only the appointments for that clinic.The filtering panel is located

of appointments. Use the Filter by drop-down menu in the upper, left-hand area of the

scheduling

  • Provider

    People

  • Resource

    Resources

  • Appointment

    Event type

Appointments are usually color-coded based on the selected filter (Appointment type, provider, resource). However, you can select the Color by appointment type check box to color by appointment type, while still using the selected filter.

 

Filtering by provider

To display appointments for specific practitioners only, follow these steps:

  1. Choose to filter by People using the Filter by drop-down selection box
  2. Check the check box beside the provider whose appointments you would like to see, and uncheck the others

To display appointments for selected resources only, repeat the steps in Filtering by provider, selecting Resources in step 1 instead of People.

Filtering by appointment type

If you just want to

Filtering by people

  1. On the Scheduling screen, click the Filter by drop-down menu, and select People.

  2. Select the check box next to the desired provider(s) to see appointments assigned to the provider(s).

    Tip
    Colors for providers can be adjusted within the Setup menu. See: Creating new users for more information.

Filtering by resource

  1. On the Scheduling screen, click the Filter by drop-down menu, and select Resources.

  2. Select the check box next to the desired resource(s) to see appointments assigned to the resource(s).

    Tip

    To color code the appointments by appointment type, but keep the filtering by provider or resource,

use
  1. click the Color by appointment type check box

Filtering by event type

  1. On the Scheduling screen, click the Filter by drop-down menu, and select Event type.

  2. Select the check box next to the desired event type(s) to see appointments assigned to the event type(s).

    Event type colors can be adjusted within the Setup menu. See: Setting up event types for more information.

Filtering by appointment status

To filter appointments by status, select one of the options from the Status drop-down selection box. This will display only appointments which match the chosen status. The appointment status filter is applied in addition to

  1. On the Scheduling screen, click the Status drop-down menu.

  2. Select a status option to see only events with the designated status. Status descriptions include:

Status

Description

Additional Information

<Active>

Displays all appointments which are not Cancelled or No show, as well as Cancelled/No Show appointments which still require rescheduling.

See: Changing appointment status.

<Inactive>

Displays Cancelled or No show appointments (which have already been rescheduled or do not require rescheduling), as well as Deleted appointments. 

Confirmed

Displays firmly established appointments.

Tentative

Displays unconfirmed appointments.

No Show

Displays appointments for patients who neither kept nor cancelled their appointment.

Cancelled

Displays appointments that will not take place.

Left Message

Displays appointments in which a communication was left for a patient who could not be contacted directly.

Arrived

Displays appointments in which a patient is in the waiting room.

See: In-clinic monitoring.

In progress

Displays appointments which are currently taking place.

Completed

Displays appointments which are finished.

Note

The appointment status filter can be applied on top of other filters (e.g.

clinic, provider). Selecting <Any> will display all appointments matching the other filters, regardless of appointment status

people, resource, event type). See: Editing existing appointments for more information.
