Tracking of third party patients

Patients with third parties can be tracked in Blueprint OMS in a number of ways.


1. Tracking using a patient group. This is done by creating a patient group in the
marketing section and adding the patient to the marketing group under the marketing
tab in the patient record. This will then show on the patient summary screen (blue box).


2. If the 3rd party is entered as an insurance company, that 3rd party will be visible on
the patient summary screen as well (green box).


3. Adding as a service plan. A service plan for the 3rd party can be created in Setup and
added to the patient hearing aid. An end date for the service plan can be set as well.

Tracking third party fitting fee payments

Step 1: Add patient hearing aid as a pre-existing hearing aid

  1. On the Patient browser tab, open the patient’s file.
  2. Click the Hearing aids tab. 
  3. On the Hearing aids tab, click the ADD AID button.
  4. Select Patient existing aid from the drop-down menu.
  5. On the Add aid screen, click on the patient's aid within the list.

  6. Enter the hearing aid Side (left/right/other), Serial number, Battery size, Warranty expiration, and Purchase date. Optionally, type in the Color and/or Notes field and input the L&D Warranty
  7. Click the ADD AID button.


QuickBooks

Adding a hearing aid does not make an entry in the QuickBooks company file.

Step 2: Add the third party as an Insurer 

  1. Click Setup on the left-hand toolbar.
  2. Click Insurers in the left panel.
  3. Click Create new at the bottom of the screen.
  4. Enter all required fields including Name, Street, City, Country, State, Zip, Insurance plan, and the Invoice template.
  5. Click Create.



Then,

  1. Open a patient file.
  2. Click the Insurers tab.
  3. Click Add Insurer at the bottom of the screen.
  4. Enter all required fields including Relationship, Insurer, ID#.
  5. Click Save.


Step 3: Sell a service for the fitting fee, then allocate the cost to the third party

  1. Open the patient file.
  2. Click the button from the main toolbar.
  3. Select the fitting fee from your services list (You may need to create a fitting fee service in your setup menu)
  4. Click NEXT at the bottom of the screen.
  5. Double click in the Covered Amount field across from the 3rd party and enter the fitting fee amount.
  6. Click COMPLETE SALE to create the invoice and bill the 3rd party for the fitting fee.



Note: If the 3rd party only pays for a certain number of visits they can record those visits in the patient sticky note or patient group notes.
